Welcome to the Mindsmith billing and credits guide. Whether you are creating a quick lesson for your team or scaling a global training program, managing your subscription and understanding your usage is simple.
This guide will walk you through how AI credits work, what each plan offers, and how to manage your billing settings.
Understanding AI Credits
Generating AI-driven content uses AI credits. The main actions that consume credits are lesson generation, AI image generation, and editable video generation. Each time you use one of these features, credits are deducted from your account.
Learner conversations are not paid for with AI credits — they are billed separately. See Learner Conversations Are Billed Separately below.
If you are on the Free, Professional, or Business plan, you operate on a monthly credit system. Each paid seat receives its own monthly credit allowance, and Professional and Business workspaces can purchase additional credit packs at any time if they need more. Enterprise plans are not metered on credits.
Tracking Your Credit Balance
You can check your credit balance at any time to see how much AI generation you have left for the month.
Locate your credit balance in your workspace (look for the coin icon).
Click on the balance to open the Credits menu.
Here, you can view your total remaining credits, which includes your monthly cycle credits and any reserve credits you may have.
If you are on the Professional or Business plan, this menu also shows the exact date your cycle credits will refill, and Business workspaces can purchase additional credit packs directly from this menu. If your balance drops below 100 credits, you will see a low balance warning to help you plan your content creation accordingly.
Learner Conversations Are Billed Separately
Conversation tiles are billed differently from the AI credits described above. When a learner runs an AI conversation, it does not draw from your monthly AI credit balance. Conversations have their own separate allowance, tracked independently from credits.
AI credits pay for authoring-time generation — lessons, images, and editable video — and refill monthly on paid plans.
Learner conversations are tracked on their own. Every workspace starts with 100 free learner conversations so you can try the feature. Testing conversations in the editor is always free; only completed learner sessions count toward your allowance.
Buying More Conversations
Additional learner conversations are sold as conversation packs, purchased separately from your subscription. Packs are priced per conversation (around $2 each), with volume discounts on larger packs. Unlike monthly AI credits, conversation packs do not reset each month — they add to your available balance and are drawn down as learners run conversations. To purchase a pack, contact the Mindsmith team or your account manager.
Tracking Conversation Usage
Organization admins can review conversation usage under Settings → Usage. This shows the number of conversations used against your limit, total minutes, and estimated cost over the last 7, 30, or 90 days.
When your workspace reaches its conversation limit, learners can no longer start new conversations — they will see a message asking them to contact the content author. Purchasing an additional conversation pack raises the limit.
Checking Your Current Plan
Your current plan tier (Free, Professional, Business, or Enterprise) is displayed in the left sidebar under your organization name. You can also see your plan badge next to the organization title on your Dashboard.

Mindsmith offers Free, Professional, Business, and Enterprise tiers designed to grow with your training needs. You can choose monthly or yearly billing (save 20% with yearly). For full plan details, feature comparisons, and current pricing, visit the Mindsmith Pricing Page.
How Seat Pricing Works
The Professional and Business plans are priced per author seat — the price you see is the cost of a single seat, not a flat fee that covers your whole team. Your total is the per-seat price multiplied by the number of author seats on your workspace. For example, a plan listed at $79/author/month costs $79/month for one author, $158/month for two authors, and so on.
A few things to keep in mind:
Each author needs their own seat. Adding a teammate as an author adds another seat at the same per-seat rate.
Viewers are free. Members with the Viewer role (people who only review or view content) do not use a paid author seat, so inviting them does not increase your bill.
Each paid seat gets its own monthly credit allowance.
If you need more than 10 author seats, reach out about an Enterprise plan.
Managing Your Subscription
You can easily upgrade your workspace at any time to unlock new features or add more authors to your team.
How to Upgrade Your Plan
Navigate to your Dashboard and click the Upgrade link inside the upgrade box, or click the Upgrade button from inside your Credits menu.
At the top of the upgrade window, select either Monthly or Yearly billing.
Review the plans and click the Upgrade button under your desired tier.
If upgrading to the Business plan, use the + and - buttons to select the exact number of author seats your team needs.
Click Continue to Billing to securely enter your payment details and finalize your subscription.
Managing Team Seats (Business+)
As your training team grows, you may need to add more instructional designers to your workspace. Because seats are billed individually, each new author you add is charged at your plan's per-seat rate on top of your existing seats.
If you invite a new author but have already used all your available seats, the system will prompt you with an auto-increase window. This window shows your current usage, the new license count, and the additional prorated cost. Simply click Add License and Invite to instantly upgrade your seat count and grant your new team member access.
Removing "Built with Mindsmith" Branding
Lessons and courses on the Free plan display a "Built with Mindsmith" badge in the learner experience. This badge also appears when content is delivered through SCORM packages or shared links.
To remove the badge, upgrade to any paid plan (Professional, Business, or Enterprise). Once your workspace is on a paid tier, the badge is automatically removed from all your published content — no additional settings changes are needed.
