Organization Settings & Members

Learn how to invite, assign, and manage users in Mindsmith shared workspaces to control access and collaboration.

Use Settings and Members to manage your own account preferences, content defaults, and organization administration. The tabs you see depend on your role, plan, enabled features, and whether you are working through an integration.

Open Settings and Members

Select Settings and Members in the left sidebar of the dashboard. Settings are organized into three groups: Personal, Content, and Administration.

Personal settings

These settings apply to your own account:

  • Profile: Update your name, email address, profile image, interface language, and available appearance preferences. You can also sign out here.

  • Notifications: Choose which automated email notifications you receive, including lesson activity, organization-admin alerts, and invitations.

  • Account Security: Change your password or permanently delete your account.

Content settings

These settings affect content created in the organization:

  • Default Settings: Set the starting lesson, grading, navigation, and generation preferences for newly created content.

  • Branding: Manage the organization logo and default theme. Paid-plan and role restrictions can apply.

  • Glossary: Define preferred translations for important terms. The translation glossary is available on Enterprise plans.

  • Narration Glossary: Define how particular words should be pronounced in generated narration. This tab is available to Enterprise admins.

Changes to organization defaults apply to newly created content. You can still adjust supported settings on an individual lesson or course.

Administration settings

Administration tabs are shown only when your account has access to them:

  • Billing: Review the current plan, seats, and subscription controls.

  • Access: Decide whether only admins may edit organization themes.

  • Usage: Review your own credit use or, for admins, organization-wide usage and credit controls.

  • Capabilities: Control organization-wide Mindsmith Agent capabilities, such as web search.

  • API keys: Create and manage public API keys when the feature is enabled for a Business or Enterprise organization.

  • Security: Configure Enterprise security options, including SSO.

  • Auto-join: Allow people with approved email domains to join the organization.

  • Members: Invite people, assign roles, and review seat use.

  • Enterprise: Open Enterprise teamspace management when you are an Enterprise admin.

Manage members

The Members tab lists active members and pending invitations. Everyone can view the member list; organization admins can invite people, change roles, resend or revoke pending invitations, and remove members.

Admins can invite one person by email or copy the reusable Invite Link. When inviting by email, choose one of these roles:

  • Admin: Can manage members and organization administration in addition to authoring content.

  • Author: Can create and edit content. Some organization settings remain admin-only.

  • Viewer: Has read-only organization access and does not consume an author seat.

Pending Admin and Author invitations count toward assigned seats. Viewer invitations do not.

Configure auto-join domains

Admins on Business or Enterprise plans can use Auto-join to approve a company email domain:

  1. Open Auto-join.

  2. Select Add Domain.

  3. Enter the domain without the @ symbol, such as company.com.

  4. Select Add.

After a person verifies an email address on an approved domain, Mindsmith can offer that organization as one they may join. People who join this way receive the Viewer role. Remove a domain from this tab to stop future domain-based joins.

Configure branding and defaults

Use Branding to upload the organization logo, choose the default theme, and manage custom themes. Branding requires a paid organization plan, and admins can use Access to restrict theme editing to admins.

Use Default Settings to establish the initial behavior of newly created lessons. See Lesson & Course Settings and Themes & Branding for the corresponding lesson-level controls.

Configure glossaries

Use Glossary to add preferred source and target terms for translation. You can add terms manually or import a CSV. Use Narration Glossary separately when you need generated narration to pronounce a word in a particular way.

Configure SSO and security

Enterprise admins can open Security to configure SAML single sign-on and authorized domains. See Single Sign-On (SSO) for the complete setup flow.

Manage public API keys

When the public API feature is enabled, Business or Enterprise organization Admins can open API keys to connect an external integration.

  1. Select Create key.

  2. Give the key a recognizable name.

  3. Choose no expiration, 90 days, or one year.

  4. Create the key and copy it before closing the dialog. The full value is shown only once.

The API keys list shows each key’s status, preview, creator, creation date, last use, and expiration. Revoke a key when an integration no longer needs it. Revocation takes effect immediately, so update the integration before revoking a key that is still in use.
