How to use Enterprise Teamspaces

The Enterprise Management Dashboard allows you to manage user roles, teamspaces, and licenses in one centralized place. If you need to separate learners or authors based on location, role, or department, this feature allows you to categorize them into individual teamspaces under your main Enterprise account.

Note: This feature is exclusively available on the Enterprise plan.


Accessing your Enterprise Dashboard

To access your Enterprise Management Dashboard, click on your current teamspace name in the top left corner of the dashboard. Then, click the Manage button next to your Enterprise name.

From this main dashboard, you can view your total seat usage, contact your Customer Success Manager, and manage your overall enterprise settings.


Editing and creating a new teamspace

When you open the Enterprise Management Dashboard, you will see a list of all your active teamspaces.

You can edit the name of your top-level Enterprise account at any time by clicking directly on the title to edit it.

Creating a teamspace

  1. Click the Create Teamspace button located on the right side of the Teamspaces tab.

  2. Enter a name for your new teamspace.

  3. Press Create Teamspace. It will instantly be added to your list of teamspaces below.

Note: Currently, you cannot delete a teamspace from the dashboard. Please be mindful of this when creating new spaces, or reach out to support if you need one removed.

Enterprise tools and exports

From the top toolbar of the Enterprise Dashboard, Enterprise Admins can also:

  • Manage SSO: Click the key icon to configure Single Sign-On for your organization.

  • Export Members CSV: Click the download icon to generate a spreadsheet of all users, their roles, and their teamspace assignments across your entire enterprise.


Managing licenses and seats

Your Enterprise Management Dashboard provides a quick overview of your total seats and active users. When managing your enterprise licenses, keep the following rules in mind:

  • Viewers are free: Users assigned exclusively to the "Viewer" role across all teamspaces do not count toward your enterprise seat limit.

  • Pending invites consume seats: If you invite a new user as a Member or Admin, they will immediately take up a seat, even before they accept the invitation.


Adding members to specific teamspaces

Once a teamspace has been created, you need to navigate into that specific teamspace to invite authors and learners.

From the Enterprise Dashboard, locate your desired teamspace and click the → View teamspace dashboard link.

Clicking this will open the actual teamspace environment. From here, you will add team members using the standard process:

  1. Click on Settings & Members found on the left side dashboard.

  2. Open the Members tab.

  3. Add a new team member by entering their email address and assigning them a role (Admin, Member, or Viewer).

Each team member will receive an email notification about the invitation. If they haven't accepted it yet, you'll see a yellow "Invited" badge next to their name.


Managing people across your Enterprise

If you want to view all users across every teamspace, use the People tab.

Within your Enterprise Management Dashboard, click on the People tab next to "Teamspaces":

This takes you to a consolidated list of every individual tied to your enterprise. It breaks down exactly which teamspaces each person is a part of and what their specific role is in each space.

As an Enterprise Admin, you can click the three dots next to any user in this list to perform global actions:

  • Make Admin: Grant the user full Enterprise Admin privileges.

  • Make Viewer in all orgs: Instantly downgrade a user to a Viewer across every teamspace they belong to (freeing up a seat).

  • Remove from Enterprise: Completely remove the user from all teamspaces in your enterprise at once.

  • Remind: If a user has a pending invitation, you can click the Remind button next to their name to resend their invite email.
