Templates & Media Library

Saving and reusing page templates, marking lessons as templates, uploading, searching, renaming, deleting, and reusing assets from the organization media library

Written by Patrick Elzinga

Reusing content and assets ensures consistency across your training materials and saves you valuable time. You can save specific pages or entire lessons as templates, and manage your reusable images, videos, and documents in a centralized organization library.

Page Templates

Saving page templates is ideal when you have a specific layout of text tiles, image tiles, or question tiles that you want to use repeatedly across different lessons.

Saving a Page as a Template

  1. Open the lesson editor.

  2. Locate the filmstrip panel on the left side of the screen.

  3. Click the ellipsis icon (...) on the specific page thumbnail you want to save. You can also right-click the thumbnail.

  4. Select Create Page Template from the menu.

  5. Enter a memorable name for your template and click Create.

Reusing a Page Template

  1. While in the lesson editor, click the button to add a new page.

  2. Navigate to your custom page templates section.

  3. Click on the template you want to use. The page and all of its customized tiles will be inserted directly into your lesson.

Deleting a Page Template

  1. Open the menu to add a new page and locate your custom templates.

  2. Hover your mouse over the template card you want to remove.

  3. Click the ellipsis icon (...) that appears in the top right corner of the card.

  4. Select Delete to permanently remove the template from your organization.

Lesson Templates

If you have standard course structures, onboarding formats, or recurring compliance training layouts, you can save an entire lesson as a template.

Note: You must be an organization administrator to create or remove lesson templates.

Creating a Lesson Template

  1. Open the lesson you want to turn into a template.

  2. Click the ellipsis icon (...) in the top right corner of the editor toolbar.

  3. Select Make Template from the dropdown menu.

  4. The lesson is now marked as a reusable organization template.

Removing a Lesson Template

  1. Open the lesson template in the editor.

  2. Click the ellipsis icon (...) in the top right corner of the toolbar.

  3. Select Remove Template. The content will revert to a standard lesson and will no longer be marked as an organization template.

Organization Media Library

The Media Library is a centralized hub where your team can store, search, and reuse images, videos, and documents across all organization lessons.

Accessing the Media Library

  1. Navigate to your main dashboard.

  2. Ensure your organization is selected in the left sidebar.

  3. Click Media Library (indicated by a photo icon) in the sidebar menu.

Uploading Assets

  1. From the Media Library page, click the Upload button near the top right.

  2. Select files from your computer, or simply drag and drop files directly onto the page.

  3. You can upload standard image files, videos, and documents (such as PDF, DOCX, XLSX, and CSV files). The system will automatically calculate the best aspect ratios and generate document icons.

Reusing Media Library Assets

You do not have to leave the editor to use your library assets. You can access them directly while building your lesson.

  1. Add a media-supported tile (like an image tile, video tile, or document tile) to your page.

  2. Click the option to select media from your library.

  3. Use the search bar or type filters to find your desired file.

  4. Click the asset to immediately insert it into the tile. You can also click the Upload button within this menu to add new files to the library without leaving the editor.

Managing Assets

Keep your Media Library organized by using the built-in search and filtering tools at the top of the page. You can filter quickly by clicking Images, Videos, or Documents.

To modify an existing asset:

  1. Locate the asset card in the Media Library.

  2. Hover over the card and click the ellipsis icon (...) in the top right corner.

  3. Select Rename to change the file's display name, or Delete to move it to the trash.
